MEAL RESERVATIONS and CANCELLATIONS – LUNCHEON and DINNER PROGRAMS
When we announce a forthcoming WAC luncheon or dinner program, we request that you press the Reserve Now button for your event. You will be able to choose either (1) to enter a reservation and pay by credit card, or (2) to print a reservation form to fill out and mail to WACSC according to the instructions on the form. In either case, you must reserve and pay so that we receive your reservation at least one week before the event.
Most venues require this amount of time (one week) in order to be properly staffed and for the chef to order the right quantity of food for our event. Also note that we will take reservations up to a week prior to the luncheon date, or earlier if capacity is reached. It is always a good idea to make your reservation as soon as you can so as not to be disappointed.
If you reserve by mailing a check, if your reservation arrives after the deadline date or if capacity has been reached, you will receive a notification and your check will be returned. You may request to be added to a “wait list” for reservations by leaving a message at the WACSC phone number: 707-573-6014 or by sending us an email at wascscca@gmail.org.
We accept cancellations and provide refunds up to 72 hours before the event. For example, if there is a luncheon on Friday, we can accept your cancellation and send you a refund if you have called the above-mentioned phone number to cancel before noon on the preceding Tuesday. After that time, we cannot provide a refund, since we are obligated to pay the venue for the reservation, even if you do not come.
POLICY on SPEAKER CANCELLATIONS
Occasionally, a scheduled speaker may cancel an appearance due to an unforeseen conflict, illness or emergency. If time permits, we may book another speaker for the event, or cancel the event, and post the information on our website. Time permitting, we will attempt to send an e-mail notification to everyone who has made reservations.
Our ability to offer refunds depends on the amount of advance notice we receive from the speaker. Our contractual obligations with our luncheon and dinner venues require us to guarantee payment by a “lock in” date, usually a week or two in advance of the program. If we receive notice from the speaker before this “lock in” date, we will offer refunds. Once this date has passed, however, and we cannot cancel the venue, the event will go on as scheduled, the meal will be served, and we will endeavor to provide a substitute program of interest.
